The Accounting Assistant will be responsible for processing accounts payable including all bills for payment, verifying invoices, computing discounts, coding expenditures with appropriate account distribution and maintaining records of account owed.
Processing purchase orders.
Accounts Receivable which includes invoicing and receipts.
Processing journal entries and duties pertaining to grants.
Responsibilities:
Process purchase requisitions and purchase orders received through Alio.
Purchase orders must be printed, sorted and distributed as necessary.
Responsible for all district funds.
Act as contact person for calls from vendors, administrators, secretaries and teachers regarding purchasing and payable guidelines for the district, purchase orders, credit cards and checks.
Review incoming mail; sort and organize bills to insure payment on a timely basis.
Compile, process and distribute all 1099's for the district.
Send yearly report of 1099 total to the Internal Revenue Service.
Perform vendor/supplier invoice audit by matching invoices with purchase orders and receiving documents; prepare schedule of invoices to be paid with approval by the Chief Financial Officer.
Assist the Chief Financial Officer with Purchase Order Timeline & Deadline for fiscal year end, plus begin purchases for new fiscal year.
Meet with vendors/sales representatives and accept bids for paper for paper for the district and building co-op purchases, and recommend which vendors to sue to the Chief Financial Officer.
Coordinate with the Building and Grounds Department smooth and timely delivery.
Enter vendor invoice data in computer system, scan, edit and verify totals.
Process checks to vendors.
Process invoices and deposits for the bank.
Process journal entries.
Responsible for credit card payments each month.
Help the Accountant and CFO with grant processing.
Prepare documentation for review by school district auditors.
Responsible for maintaining electronic documents.
Order checks, envelopes and various office supplies for the administration office.
Perform other duties as assigned.
Qualifications:
Associates degree preferred, or high school diploma with additional training or related work experience.
Broad knowledge of district organizational operations, policies and procedures is preferred.
Must have the ability to organize, prioritize and work independently.
Manual dexterity to operate a computer, calculator, printer, and other general office equipment is required.
Must have the ability to work effectively in an environment where interruptions occur frequently.
